Synergy AI Systems is a sole-trader business operated by Johannes Martinus de Wet, ABN 48 937 337 068, based in the Newcastle / Hunter region of NSW, Australia. These terms apply to the use of this website and to engagements with Synergy AI Systems. Last updated: July 2026.

Website Use

This website is provided for general information about the services offered. Content is provided in good faith, but no warranty is given as to its accuracy or completeness. Website content is general information only and does not constitute advice for your specific situation.

Services and Scope

Synergy AI Systems provides process improvement consulting, AI workflow design, Microsoft 365 and Power Platform automation support, practical utility tools, staff AI training, documentation systems, and website and digital workflow builds. Each engagement is defined by a written scope agreed before work begins.

Quotes and Engagements

Paid work is quoted after a scope review. A quote describes the work included, the expected deliverables, and the price or pricing basis. Work outside a quoted scope is not included unless agreed in writing.

Free Initial Discussion

The first workflow discussion is free. Its purpose is to understand the problem and whether there is a practical fit. It does not create an engagement, and no deliverables are owed from it.

Payment and Scope Changes

Payment terms are stated on each quote or invoice. If the scope changes during an engagement, the change and any price adjustment will be agreed in writing before the additional work proceeds.

AI and Automation Disclaimer

Work delivered by Synergy AI Systems may involve AI-assisted tools. AI output and automation can contain errors and must be reviewed, tested, and verified before being relied on for business-critical use. Confidential information should not be uploaded to public AI systems without appropriate safeguards.

Human Review and Testing

Deliverables are reviewed by a human before handover, and systems are staged so they can be tested against real jobs before replacing existing processes. Clients remain responsible for final acceptance testing within their own business environment before business-critical use.

Professional Advice Disclaimer

Synergy AI Systems does not provide legal, financial, engineering-certification, medical, cybersecurity, or other regulated professional advice unless separately agreed in writing and properly qualified. Where such advice is needed, an appropriately licensed professional should be engaged.

Client Responsibilities

Clients are responsible for providing accurate information about their processes, for access to the systems and people needed to complete agreed work, for reviewing and accepting deliverables, and for compliance with their own legal, regulatory, licensing, and insurance obligations.

Confidential Information

Information shared during an engagement is treated as confidential and is used only for the purposes of that engagement. Do not submit highly confidential files through the contact form. Sensitive files, drawings, pricing, customer data, or internal records should be shared only through an agreed safer method once an engagement is underway.

Privacy and Contact Form Data

Contact form submissions (name, email, phone if provided, business name if provided, and your message) are used only to respond to your enquiry. This information is not sold or shared with third parties for marketing purposes. Form submissions are processed by the website hosting provider (Netlify) for delivery. You can request that your enquiry details be deleted by contacting the email address below.

Third-Party Tools

Engagements may involve third-party platforms such as Microsoft 365, SharePoint, Power Automate, ChatGPT, Claude, Copilot, or hosting services. Those platforms are governed by their own terms, pricing, and availability, which are outside the control of Synergy AI Systems. Clients are responsible for their own licences and subscriptions.

Intellectual Property

Unless agreed otherwise in writing, deliverables created specifically for a client belong to that client once paid for in full, while pre-existing methods, templates, frameworks, and know-how remain the property of Synergy AI Systems and may be reused across engagements. Website content is the property of Synergy AI Systems unless otherwise stated and may not be reproduced without permission.

Limitation of Liability

To the maximum extent permitted by law, and subject to any rights that cannot be excluded under the Australian Consumer Law, the liability of Synergy AI Systems for any claim arising from an engagement is limited to the amount paid for the work giving rise to the claim, and liability is excluded for indirect or consequential loss, loss of profit, loss of data, or business interruption.

No Guaranteed Outcomes

Synergy AI Systems does not guarantee specific business results, savings, revenue, or return on investment. Outcomes depend on factors within the client business, including how systems are adopted and used.

Governing Law

These terms are governed by the laws of New South Wales, Australia.
